How We Process 300+ Students in 3 Hours

Proms and galas hit the booth in waves. Here is the exact system we run to keep lines short, prints flowing, and no student standing around waiting.

01

Dual High-Speed Printers

Two printers run side by side on every booking. Each one handles half the print load. That is how we sustain 100 students per hour without a backlog building up. If one printer jams, the other keeps going.

02

Double Prints, Every Session

Every photo session prints two copies by default. In a group of six, two copies do not cover everyone. Our attendant prints additional copies on the spot when the group is larger. Nobody leaves without a photo.

03

Staged Queue System

Our attendant keeps a staging zone for the next two groups. The current group poses, exits, and the next group is already picking props. That cuts about 15 seconds per session, which saves 45 minutes across a three-hour prom.

04

Prints Handed Out Live

Prints come off the tray and go straight to the guest. No holding tank. No "come back later." Students take their photo and leave the booth with it in hand. That single change keeps the exit lane clear.

05

Pre-Set Filters & Layout

The print layout, filter, and lighting are locked in before the event starts. No adjusting between groups. What is set is what runs, all night, at speed.

06

Two Attendants on Large Events

For proms and galas over 250 guests, we send two attendants. One runs the touchscreen and lighting. The other manages the queue, hands out prints, and handles prop resets. No bottleneck at the booth.

Custom Logo & Sponsor Overlays

School Logos, Event Themes & Sponsor Branding

Every photo that leaves the booth carries your event. School crest, prom theme, banquet year, or sponsor logos. We build the design around what you need, and every guest walks out holding it.

01

School Logo & Event Theme Print Design

The print border is the part guests take home. We design it to carry your school crest, the prom theme, the banquet year, and the event name. Plano Senior High Wildcat logo. Frisco High Raccoon crest. Shepton Stampede. Whatever the school identity is, it lands on every print.

For proms and banquets, we can layer the theme design over the school branding so the print looks like a poster for the night, not a generic photo strip. Digital overlays on the touchscreen carry the same design, which is what shows up on the guest's phone when they scan and share.

  • School crest, mascot, or logo on every print border
  • Prom theme, banquet year, and event name integrated into the design
  • Matches the colors of your decor, invitations, and program
  • Digital overlay carries the same design for phone shares
  • Proof sent for approval before anything prints
  • Turnaround is 3–5 business days from approval
02

Sponsor Logo Placement for Galas & Fundraisers

Charity galas and booster fundraisers live and die on sponsor recognition. The photo booth is one of the highest-traffic spots of the night. That makes it the ideal place to put sponsor logos. We design the print border to feature your top sponsors, tiered by donation level if you want.

Every photo that leaves the booth goes home with a sponsor logo on it. Some galas add a second digital overlay to the touchscreen, so even the phone shares carry the sponsor branding. If you need specific logo sizes, colors, or placement, send the sponsor kit and we build to spec.

  • Sponsor logos on print borders, tiered by level
  • Digital overlay option for phone shares
  • Matches gala program and signage design
  • Sponsor logo files accepted in AI, EPS, SVG, or high-res PNG
  • Locked-in placement so no logo is buried or squeezed
  • Proof sent for approval before anything prints

What PTA Boards & Gala Committees Say

Plano ISD proms. Frisco ISD banquets. Collin County galas. Here is what organizers say after the event wraps.

“

We had 340 students at prom and the booth never backed up. Two printers running the whole night. Every kid in every group shot walked away with a print in hand. The double prints thing sold it for our PTA.

Melissa H.Prom Chair · Plano ISD
“

Our booster club needed W-9, COI, and background checks for the attendants. They sent everything over in under 48 hours. The district approved them without a single back-and-forth. That is rare.

David K.Athletic Booster Treasurer · Frisco ISD
“

Our gala is sponsor-driven. They put the tier-one and tier-two logos on the print border and every guest went home with sponsor branding in their hand. Best sponsor visibility we have had in five years.

Straight Answers

School Event Photo Booth FAQs

No hidden answers. No accordion buttons to click. Here is what PTA boards, booster clubs, and gala committees ask us before they book.

01 Vendor Paperwork

Do you provide a W-9 and COI for the district?

Yes. We provide a signed W-9 and a Certificate of Insurance on request. Additional insured endorsements for Plano ISD, Frisco ISD, Allen ISD, McKinney ISD, and any other Collin County district are provided at no charge. Standard vendor packets are completed within 48 hours. If your district has a specific form template or needs the COI sent to a particular risk management contact, send that and we handle it. Do not wait on this until the last week before prom.

02 Background Checks

Are your attendants background-checked?

Yes. Every attendant who steps on campus is vetted and background-checked before the event. We can provide clearance documentation per district requirements. If your district requires fingerprinting or a specific vendor badge, tell us when you book and we start the process early. We do not send anyone to a school event who has not been cleared. This is non-negotiable for us.

03 Throughput

Can you really handle 300+ students in three hours?

Yes. That is the standard we build the setup around. Dual high-speed printers run simultaneously. Prints are handed out live, not held back. Our attendant stages the next two groups so no time is wasted between sessions. Sustained throughput is about 100 students per hour, or 300 across a three-hour prom. For events over 250 guests, we bring a second attendant at no extra charge. That is what keeps the line short and the students happy.

Prints 04

How do double prints work for group photos?

Every session prints two copies by default. For a couple or a pair of friends, that covers both. For larger groups, our attendant prints additional copies on the spot. That means if six students take a photo together, we send out six prints, not two. No one leaves without a copy. This is the single thing that schools appreciate most, because it eliminates the "where is my photo?" emails after prom.

05 Setup

What does the venue need to provide?

Space and one standard 110V outlet within 20 feet. Fits an 8×8 corner or a 6-foot table. Backdrop adds 2–3 feet of depth. We tape down all cords for gym floors and cafeteria walkways. If the venue is outdoors, we plan around weather and power access in advance. For country clubs and hotel ballrooms, we coordinate directly with the venue AV team and the events coordinator. You do not need to be the middle person.

06 Booking Window

How far in advance should we book for prom season?

Prom season runs April and May and fills fast. Book by January or early February. Sports banquet season runs in the spring and late fall. Book six to eight weeks out. Charity gala season runs September through November. Book by early summer. Vendor paperwork like COI and W-9 takes time on the district side, so booking early means fewer headaches. Short-notice bookings are sometimes possible. Call us. If the date is open, we will make it work.

Prom Season Books Out First

Lock In Your School Event Photo Booth Date

Proms. Spring sports banquets. Fall galas. End-of-season celebrations. Collin County school calendars fill fast. The best dates disappear first, and vendor paperwork needs lead time on the district side.

If you have a date, grab it. Send the event type, the venue, the guest count, and the school or organization. We will reply with availability, pricing, and the vendor packet. No pressure. Just a straight answer about what works.
